4. Makeup Examination

4-1. Introduction

    Makeup Examinations are conducted only for students who were unable to take a Spring Semester Final Examination, Fall Semester, or Academic Year Final Examination because of hospitalization or other unavoidable circumstances specified by the University, and whose reason for absence is approved by the Offering College or program as meeting the prescribed requirements. For students who meet these requirements, the University provides one opportunity to take a Makeup Examination as an alternative arrangement for the Written Examination held at the end of the semester. The Makeup Examination system is not a re-examination system for courses that a student failed, nor is it a system for re-administering examinations missed for personal reasons.

    Applications for Makeup Examinations are reviewed strictly. Applicants are responsible for checking all application requirements and submitting complete and accurate application documents. If the application documents contain any deficiencies, omissions, or errors at the time of submission, the applicant is responsible for them, regardless of the reason.

    No special arrangements will be provided if a student is unable to take a Makeup Examination or an Examination Schedule Conflict Special Examination, regardless of the reason. Makeup Examinations will not be held for Makeup Examinations.

    Students must check the relevant pages of the Course Guidebook for courses eligible for Makeup Examinations, approved reasons for absence, and other requirements.

    Students must also check the Eligible Students, Examination Format, and Timetable Announcement, to be released on the dates listed in 4-3, together with the Course Guidebook.

      Special International Students are not eligible to apply for Makeup Examinations during the Spring Semester.

4-2. Application Procedures for a Makeup Examination

    To take a Makeup Examination, students must complete the application procedures during the designated period and obtain permission after screening by the Offering College or program.
  2. 2
    Students must submit the following documents to the Academic Affairs Office on their campus within one week from the day after the examination date: 1) Makeup Examination Request Form, 2) A copy of the Course Registration Status Page, with the course or courses for which the student is applying for a Makeup Examination highlighted and the examination date added, and 3) Required supporting documents listed in 4-4. The deadline is the same day of the following week. If the deadline falls on a day when the Office is closed, the deadline is the next business day.

    Students applying for a Makeup Examination under reason (2), school infectious disease, must download the Certificate of Permission to Attend School for School Infectious Diseases from the Academic Affairs Office page on RIKKYO PORTAL.

    If a student is unable to submit the application by the deadline because of unavoidable circumstances, a representative may submit the application on the student's behalf. The applicant remains responsible for the completeness and accuracy of the application. No corrective measures will be provided for deficiencies or errors made by the representative. Students should therefore choose their representative carefully.

    Students who are unable to submit the application by the deadline because of unavoidable circumstances and who cannot appoint a representative must contact the Academic Affairs Office on their campus before the application deadline.

    Students are responsible for confirming the office calendar of the Academic Affairs Office on their campus and ensuring that the application is submitted by the deadline. Refer to the office calendars below for the days on which counter services are available.

    Students who come to campus to complete Makeup Examination application procedures during the period of Campus Access Restrictions During University Entrance Examinations and Related Events in February must call the Academic Affairs Office from the security checkpoint before entering campus. Applications submitted after the deadline will not be accepted for any reason, including cases in which the student was unable to enter campus because the required call was not made.

4-4. Grounds for Permitting Makeup Examinations and Required Supporting Documents

As stated in the Course Guidebook, students may apply for a Makeup Examination only when one of the following grounds applies. Students must review each item carefully and follow the detailed instructions for the applicable ground.

1) Inability to Attend Campus Due to Hospitalization, Illness, or Injury Requiring Medical Treatment, Including Menstrual Pain

  • Required Supporting Documents

    Submit either a Hospitalization Plan or a medical certificate issued by a physician showing that the student was unable to come to campus on the examination date. The document must clearly state the specific reason the student was unable to attend campus, such as hospitalization, illness, or injury.

  • Details
    1. 1
      A medical consultation on the date of absence is not required. However, the medical certificate must clearly state, under the physician's responsibility, that the student was ill or required medical treatment on the examination date. Examples include "requires medical treatment for [number] days" or "had a fever on [date]."
    2. 2
      If the original Hospitalization Plan or medical certificate is being used for another purpose, a copy may be submitted.
    3. 3
      As a general rule, medical certificates should be issued on paper. If a medical certificate is issued online by the medical institution, a printout made by the student is acceptable.
    4. 4
      Hospitalization Plans and medical certificates do not need to be submitted in a sealed envelope. Students must review the document before submission and confirm that the details, including dates and symptoms, are appropriate for a Makeup Examination application.
    5. 5
      If there are questions about the submitted Hospitalization Plan or medical certificate, the Academic Affairs Office may instruct the student to have the document reissued by the medical institution or may contact the medical institution directly.

2) Inability to Attend Campus Due to a School Infectious Disease (infectious diseases to be prevented in school)

This applies when the student is unable to attend campus due to a school infectious disease, as defined by the School Health and Safety Act of Japan, including influenza or measles.

  • Required Supporting Documents

    Submit either of the following:
    ・a medical certificate issued by a medical institution stating the period of suspension from attendance and the date on which the student is permitted to return to school; or
    ・the University-prescribed Certificate of Permission to Return to School for School Infectious Diseases, completed and certified by a medical institution.

  • Details
    1. 1
      Students are strongly encouraged to use the University-prescribed form, Certificate of Permission to Return to School for School Infectious Diseases. If a general medical certificate is submitted instead, the application may not be accepted if the information provided is insufficient. The form can be downloaded from RIKKYO PORTAL.
    2. 2
      Medical certificates often do not include sufficient information about the period of suspension from attendance or the date on which the student is permitted to return to school. Students must explain these requirements clearly to the medical institution when requesting the certificate. If the required information is insufficient, the application will not be accepted.
    3. 3
      If the student visits different medical institutions at the onset of the illness and at recovery, the medical institution visited at recovery may not be able to certify the entire period of suspension from attendance. In that case, the student must obtain a medical certificate from the medical institution visited at onset that states the date of onset. The period of suspension from attendance may then be verified by submitting both the certificate issued at onset and the certificate issued by the medical institution visited at recovery, which must state the date of recovery and the date on which the student is permitted to return to school.

      Documents supporting absence due to school infectious diseases other than influenza or COVID-19 must be issued on or after the end of the recovery period.
    5. 5
      Any Written Examination taken during a period of suspension from attendance will be void.
    6. 6
      Certificates of Permission to Return to School for School Infectious Diseases and medical certificates do not need to be submitted in sealed envelopes. Students must review the documents before submission and confirm that the information, including the period of illness and the date on which the student is permitted to return to school, is appropriate for a Makeup Examination application.
    7. 7
      If the original medical certificate or Certificate of Permission to Return to School for School Infectious Diseases is required for another purpose, a photocopy may be submitted.
    8. 8
      As a general rule, medical certificates and Certificates of Permission to Return to School for School Infectious Diseases should be issued on paper. If a certificate is issued online by a medical institution, a printout made by the student is acceptable.

3) Bereavement Leave

Limited to the death of a guarantor, spouse, or a blood relative or relative by marriage within the third degree of kinship. Memorial services are not eligible. Reasonable travel time required to attend the funeral may also be considered.

    ・Documentation verifying the facts (e.g., death certificate, funeral acknowledgment card)
  • Details
    1. 1
      The Statement of Circumstances must clearly describe the student's relationship to the deceased.
    2. 2
      The Statement of Circumstances must include the funeral schedule, the date of preparation, the Student ID Number, and the student's handwritten signature. The body of the statement may be prepared electronically.
    3. 3
      If the application includes travel days, the Statement of Circumstances must explain the travel dates, travel times, and means of transportation to demonstrate that the travel was reasonable.
    4. 4
      Travel not directly related to the funeral (for example, arriving several days early for personal reasons) may not be approved.
    5. 5
      Blood relatives and relatives by marriage within the third degree of kinship include the following:
      Blood relatives: parents, children, grandparents, siblings, grandchildren, great-grandparents, aunts, uncles, nieces, nephews, and great-grandchildren.
      Relatives by marriage: spouse's parents, spouse's children, child's spouse, spouse's grandparents, spouse's siblings, sibling's spouse, spouse's grandchildren, grandchild's spouse, spouse's great-grandparents, spouse's aunts and uncles, spouse's nieces and nephews, aunt's or uncle's spouse, niece's or nephew's spouse, and comparable relatives within the third degree of kinship.

      If the original supporting document is required for another purpose, a copy may be submitted.
    7. 7
      Supporting documents should, as a general rule, be paper documents. Printouts of documents issued online are also acceptable.

4) Transportation Delay of 30 Minutes or More

    Certificate of Transportation Delay issued by the transportation provider.

  • Details
    1. 1
      The student must write the Student ID Number, name, examination date, examination period, and course name on the back of the certificate.
    2. 2
       "Transportation" refers to trains, public buses, and airplanes.

5) Serious Incident, Accident, or Disaster

This category includes:

  1. i
    involvement in an incident or accident that prevented attendance on the examination date;
  2. ii
    police questioning or lifesaving activities resulting from an incident or accident; or
  3. iii
    inability to come to campus because of damage to the student's residence, evacuation, or restoration work following a natural disaster, fire, or similar event.
  • Required Supporting Documents

    ・A Statement of Circumstances prepared by the student; and
    ・Documentation verifying the objective facts, issued by a public authority, medical institution, insurance company, transportation provider, or other appropriate organization.

  • Details
    1. 1
      The Statement of Circumstances must explain the event in detail, including a timeline, and clearly explain why the student was unable to take the examination.
    2. 2
      1. The Statement of Circumstances must include the date of preparation, the Student ID Number, and the student's handwritten signature. The body of the statement may be prepared electronically.
    3. 3
      Copies of supporting documents are acceptable if the originals are required for another purpose.
    4. 4
      Supporting documents should, as a general rule, be paper documents. Printouts of documents issued online are also acceptable.

      1. If obtaining the supporting documents will take time, students must notify the Academic Affairs Office when submitting the application, specifying:
        ・the organization issuing the document;
        ・the document requested; and
        ・the expected date of issuance.

If the required documents are not submitted by the deadline specified by the University, the application will not be accepted.

6) Practicum or Field Experience Required for Certification Courses

    The certificate must be issued by the Certification Courses Office.

7) Employment Selection Process

Where the examination schedule cannot be changed, including reasonable travel time and days required for the examination.
Limited to interviews or written examinations for which the examination schedule cannot reasonably be changed.

* Internships, company information sessions, seminars, and alumni visits are not eligible.

  • Required Supporting Documents

    A certificate issued by the organization conducting the employment selection process, showing the location, date, and time of the examination and bearing the organization's official seal.

  • Details
    1. 1
      If the official certificate cannot be issued by the application deadline, students must submit temporary evidence (such as an email from the employer) and notify the Academic Affairs Office when the official certificate is expected to be issued.
    2. 2
      If the organization cannot provide an official seal, students must report this when applying. The Academic Affairs Office may contact the organization directly, so the recruiter's contact information must also be provided.
    3. 3
      Reasonable travel time and travel days are eligible. Travel that is not considered reasonable will not be approved. Students may submit a Statement of Circumstances explaining the travel schedule.
    4. 4
      The Statement of Circumstances must include the date of preparation, the Student ID Number, and the student's handwritten signature. The body of the statement may be prepared electronically.

8) Graduate School Entrance Examinations

This includes entrance examinations for Rikkyo University's graduate schools.

  • A copy of the examination admission ticket.

9) Participation as a National or Equivalent Representative

Eligible activities include:

  1. i
    participation in or accompanying athletic competitions or official training as a member of a Japanese national team selected by a member organization of the Japanese Olympic Committee (JOC) or Japan Paralympic Committee (JPC), including reasonable travel;
  2. ii
    activities approved by the University as equivalent to participation as a Japanese national team member; or
  3. iii
    participation as a representative of another country or a region equivalent to a country.
  • Required Supporting Documents

    Documentation issued by the dispatching organization confirming selection as a national representative. If that documentation alone is insufficient, a Statement of Circumstances will also be required.

      Students applying under categories (ii) or (iii) must consult the Academic Affairs Office before the start of the Regular Examination Period to confirm eligibility.
    2. 2
      Any Statement of Circumstances must include the date of preparation, the Student ID Number, and the student's handwritten signature. The body of the statement may be prepared electronically.

      Copies of supporting documents are acceptable if the originals are required for another purpose.

      Supporting documents should, as a general rule, be paper documents. Printouts of documents issued online by the dispatching organization are also acceptable.

10) Court Appearance for Jury Selection or Jury Service

This applies when a student is required to appear in court for a jury selection procedure or for a public trial after being selected as a juror.

  • ・For appearance in court for jury selection: the Notice of Selection Procedure Date (Summons) issued by the court, certifying the date of appearance.
    ・For jury service: the Certificate issued by the court, certifying the period of service as a juror.

11) Other Reasons Temporarily Added by the University

This applies only when the University temporarily adds eligible grounds other than those listed in items 1 through 10 above.

  • Required Supporting Documents

    If any additional grounds apply, the details and required supporting documents will be announced in the Revision History of the Examination Information Announcement.

4-5. Makeup Examination Periods and University-Sponsored Study Abroad Programs

  • If the schedule of a University-Sponsored Study Abroad Program in which a Makeup Examination applicant is participating overlaps with the Makeup Examination period, the applicant must report this when applying for the Makeup Examination.
  • If the program schedule overlaps with all Makeup Examination periods, the applicant may request special arrangements to take the Makeup Examination as a Report Examination.
  • Eligibility for these special arrangements is subject to review. Applicants must check the review result in the Eligible Students, Examination Format, and Timetable Announcement for the Makeup Examination.
  • Students requesting these special arrangements must complete the designated section of the Makeup Examination Request Form at the time of submission.
  • Requests for special arrangements can be made only when the Makeup Examination Request Form is submitted. Requests made after submission will not be accepted. Students who do not request special arrangements at the time of submission will not be eligible for them under any circumstances.
  • If special arrangements are approved and the Makeup Examination is to be taken as a Report Examination, students must follow the instructions in 3. Report Examination and in the Eligible Students, Examination Format, and Timetable Announcement for the Makeup Examination.
  • Submissions made outside the Report Examination submission period designated for the Makeup Examination will not be accepted under any circumstances.
